Correspondence: a managed record

Correspondence brings your formal project communication into one numbered, auditable record.

Write your message, add attachments and issue it. C-COM creates a numbered PDF on your letterhead and sends it to the right people. You address it to the contractual party, and C-COM identifies their representative for you. When someone leaves or changes roles, you don't have to keep track of who should receive the next letter.

Letters, Submissions and Programmes each have their own register, numbering and access rules. Every item has a named owner and an open or closed status. Handovers are recorded, so you'll always know who's responsible.

Information Requests: keep answers on track

Information Requests helps you manage RFIs and technical queries, with a clear record of what's been asked, who needs to respond and when the answer is due.

Complete a short form and C-COM creates a uniquely numbered PDF, addressed to the right party and assigned to a named responder. You can see what's open, what's due soon and what's overdue in the register.

Each response becomes a numbered communication in the same thread. If a query needs several rounds of clarification, it stays together as one conversation. You can also report on priority, discipline, status and response times without building a separate spreadsheet.

What it means for each party

For the owner: you'll have a clear communication record and visibility of outstanding items across your projects, without chasing updates or relying on individual inboxes.

For the EPCM: you can issue, number and file correspondence in one place, and stay on top of RFIs and technical queries with a record of what was asked and when.

For the contractor: you're working from the same register as everyone else, so it's easy to see what's been sent and which requests still need an answer.

Correspondence and Information Requests are live and included in Core, Pro and Enterprise at no additional cost.

We enable them per project. If you're already using C-COM, just ask and we'll configure them on your contracts, usually within a couple of days. We can also arrange a training session to walk your team through them.
